Job Description
As a direct report to the Deputy Director, the Operations Manager will provide support for a small non-profit team with a big mission. This position provides administrative support for three members of the Trust’s leadership team and is responsible for the effective and efficient management of daily operations and human resources administration.
Duties include but are not limited to:
Administrative Support

Ensure that various administrative tasks are done in an effective and efficient manner, including copying, reviewing mail, drafting correspondence, screening phone calls and maintaining executive files as needed.

Manage external contacts for Executive Director, proactively understanding who they are, priority level and keeping track of periodic communication as required.

Implement, monitor and maintain the organization of hard copy and electronic filing system, inclusive of naming conventions.

Prepare and distribute meeting notes, agendas and internal reports as required.

Manage master calendar, appointments, correspondence, and travel arrangements.
-
Support staff members in research, projects, and administrative work as assigned.
Communications
-
Support the development and implementation of a strategic communications plan.

Manage web-based and electronic communication efforts, providing updates and maintenance,
ensuring that content is current, relevant and posted in a timely manner.

Work with the Trust staff to produce quarterly newsletters.

Design invitations and programs (print and electronic) for events as requested.

Collect feedback on education issues, events, programs and initiatives as required.
Development
-
Manage a database of current and prospective funders, inclusive of key contacts, application and reporting deadlines.

Manage the submission of funding applications and reports, assuring the appropriate content and timely delivery.

Maintain up-to-date development files, both electronic and hardcopy.
Human Resources Administration

Monitor daily attendance board, sending reminders to staff, reporting discrepancies to Deputy Director and managing updates as needed.

Serve as the first point of contact for HR/ benefit related inquiries.

Manage personnel profiles and records, ensuring that all content is accurate, complete and
up-to-date, handling all information with the utmost discretion.

Manage the annual benefits enrollment process, updating employee elections as required.

Support and manage recruitment efforts.

Manage annual staff evaluation process.
Office/ Operations Management

Manage the reception area to ensure effective verbal and written communications both internally and externally, maintaining a professional image at all times.

Manage the maintenance and alteration office suite, including layout, arrangement, and housekeeping of office facilities.

Assist in coordination and execution of meetings and special events as required, including logistics, registration, document preparation, and on-site management.

Implement a system that alerts to upcoming deadlines, incoming requests and/or events.

Inventory management including the purchase of office supplies and equipment as directed.

Serve as the first point of contact for technology-related issues, liaising with technology consultants as required.
Skills/Qualifications: Bachelor’s Degree minimum education requirement, Master’s degree preferred; Knowledge and experience in organizational effectiveness and operations management; Proficiency with basic software programs including web-based communication and social media platforms, Microsoft Office and Google Suite; Demonstrated critical thinking and problem solving skills; Demonstrated written and oral communication skills; Knowledge of general office equipment and Telephone Systems. Must be highly organized, technologically sophisticated, proactive, and skilled at analyzing information. The successful candidate will also be socially conscious with an interest in equal access to education.
